How the work runs

  1. Step 01

    Requirements

We sit with the head teacher and bursar to map how your school handles admissions, fees, exams and reporting today.

  2. Step 02

    Configuration

We set up your fee structures, classes, subjects, grading scales and user roles to match your school, not a generic template.

  3. Step 03

    Data migration & training

Existing students, balances and staff records are imported and reconciled, then your team is trained on the live system.

  4. Step 04

    Go live & support

You start the term on the system, with support on hand for corrections, new reports and additional modules.

Frequently asked questions

What is a school ERP system?
A school ERP (Enterprise Resource Planning) system is one platform that runs the whole school: admissions, student records, fee billing and payments, examinations and report cards, staff and payroll, stores, and parent communication. Instead of separate spreadsheets and books, everything sits in one database with role-based access for the head teacher, bursar, teachers and parents.
How much does a school management system cost in Kenya?
Cost depends on the number of modules, the number of students, and whether you need SMS, M-Pesa reconciliation or a parent portal. We quote a fixed price per school after a short requirements call, covering setup, data migration, training and the first year of support. Send us your school size and the modules you need and we will send a written quotation.
Can parents pay school fees through the system?
Yes. Fee structures, invoices, balances and receipts are handled inside the system, and payments can be reconciled against bank or mobile money records so the bursar sees an accurate balance per student at any time.
Do you send SMS to parents?
Yes. The system can send fee balance reminders, exam results, and school announcements to parent phone numbers directly from the student records, so no one has to retype contact lists.
Can you move our existing student and fee data into the system?
Yes. We import your existing student registers, fee structures and outstanding balances from Excel or your current system, verify the totals with your bursar, and only go live once the figures reconcile.
Is the system used by a real school already?
Yes. Sacred Heart School runs on the TerraVisuals school ERP in production, covering student management, fees, examinations and parent SMS.
